The Quick Space Privacy Policy

The Quick Space, Inc. (collectively "The Quick Space" or "we" or "TQS") collects, uses, protects, and distributes personal information in accordance with this Privacy Notice. "You" refers to a user of The Quick Space's services, products, or platform in this Privacy Notice. A user can be a renter, space manager also referred to as “host” and  vendor.

The Quick Space will be the data controller of such information if you use our services or your personal data is processed in connection with such services, and we control the purpose for which such personal data is processed. Where you have hired multiple elements of our broader organization to provide distinct or jointly supplied services, there may be more than one data controller of your information within our group from time to time.

These terms do not apply to, and The Quick Space is not responsible for, any third-party websites that are linked to from this site. Please note that our Services are not for children under the age of majority in your home country. It's important to let us know if you think we might have personal information from or about a child who isn't old enough to get it.

"Personal data" refers to any information that can be used to identify or contact you. We collect and process your personal information to ensure that you have the best possible experience while interacting with us. Identity verification information: Information collected to assist us in verifying that users are who they claim to be.

Stripe is used to verify identity documents. Stripe gathers photos of identification documents, facial images, identification numbers, and addresses, as well as data on the machines that connect to its services. Stripe provides us with this information and also utilizes it to operate and improve its services, including fraud detection. Additionally, you may grant Stripe permission to utilize your data to improve Stripe's biometric verification technology. Stripe's privacy statement is available at https://stripe.com/privacy. We gather data on the device you are using to access the Internet and associated network information, such as the browser type, device type, method of sign-on, device ID information, and IP

Platform Activity Data : We collect information about your interactions with The Quick Space Platform.

Date/time of access, pages seen, searches conducted, messages transmitted, enquiries conducted, requests conducted, bookings conducted, reviews written, boards established, analytics data, and error logs.

Cookies and Equivalent Data : The Quick Space website makes use of cookies, pixels, and other technologies to ensure that the website functions effectively and that our site visitors receive the most appropriate services.

Cookies transmit information back to the original website or to another website that recognizes the cookie on subsequent visits in order to compile a record of the user's online behavior.

The Quick Space and third parties.

Data about Spaces: Data about the spaces listed on our service, which may be related with a specific individual but is more often than not associated with a company. We assign unique spaces a Space ID and unique postings a Listing ID.

Address (street address, city, state, province, zip code, postal code, country, metropolitan area), space's latitude and longitude, time zone, capacity, onsite contact information, space entry instructions, and Wi-Fi connection instructions.

Users and third parties.

Booking Data: Data pertaining to a certain Booking. Each Booking is assigned a unique Booking ID.

Date/Time of start/end, Booking data (services descriptions, event descriptions, attendance count, pricing, taxes, and fees), and correspondence regarding Booking.

Third Party Data: We collect data from vendors or third party services that fulfill Host Add-on services.


 

Email addresses for vendors, descriptions of their services, locations, contact information, websites, survey replies, and vendor questionnaire results.

Survey/Feedback Information: We gather information from you when you complete a form, submit feedback, or contact us in any other way.

Responses to survey questions, criticism, and email interaction.

Contract Data: We gather information on the agreements that users enter into with one another.

Signatures on contracts, signatures (including electronic signatures), affiliate information, contract conditions, and other data.

Sensory Data: Audio recordings, such as your voice when you contact us via Support.

III. Legal Grounds for the Processing of Personal Data

We depend on the following legal reasons when we want to use your personal data:

Contractual performance: We may need to collect and use your personal data to enter into or complete a contract with you. This could be any type of commercial contract to which we are both parties, or an employment contract if you are a Host and make Spaces available on the Platform, or a Guest making a booking on the Platform, and we respond to your requests and provide you with services per our The Quick Space Services Agreement ("TQSSA") or other applicable terms of business agreed with you or with a third party.

Legitimate objectives: Where we believe that the use of your information is (a) not detrimental to you, (b) consistent with your reasonable expectations, and (c) necessary for our or a third party's legitimate purpose, we may use your personal data for the following purposes: direct marketing or continued communication; fraud prevention; internal administrative purposes; personalisation of the service(s) we provide to you; ensuring network and information security, including pre-checking; and personalisation of the service(s) we provide to you.

Observance of a legal requirement: We may be compelled to process your information to comply with applicable legal obligations, such as employment laws, tax laws, and other regulatory regulations affecting The Quick Space.

Consent: You may be asked to consent to the processing of your personal data for our marketing purposes if you or your employer is not a client of The Quick Space, or to the processing of certain special categories of personal data, such as your health or racial background, for which we are legally required to obtain your consent due to the sensitive nature of the information and the circumstances. Where we rely on your consent, you may withdraw it at any time by contacting us; however, please note that we will no longer be able to supply you with the products or services for which your consent is required. 

IV. Our Commercial and Operational Objectives

Depending on the circumstances surrounding the collection of your personal data, we may use it to provide you with services and information, as well as for one or more of the following purposes:

Our commercial objectives are to further our commercial interests, which may include advertising and marketing. Without your personal data, we may be unable to do some or all of these things.

If we ever intend to change the purpose for which we store your personal data, for example, to offer you a complimentary service that we may provide in the future, we will notify you in advance of the change.

V. Disclosures of Your Personal Data

For example, we may share your personal information with other companies in The Quick Space's group for things like billing, marketing, and providing you or your company with services, as long as these things are done in a way that is lawful and meets our business and commercial needs and the legal basis for using your personal data above. Among the types of information that may be shared to help customers make reservations and other interactions, and to allow you to use the The Quick Space platform: Visitors' locations, demographics, contact information, Click rates and user flow, Overall page traffic, Bounce rates, Source of web traffic

  1. Publicly Available Data. Certain user information is publicly accessible on the site and can be viewed by others. This may include user profiles, information about a Space or Listing, reviews, ratings, and other feedback, reviews of Guests who have completed Bookings, reviews of attendees who have attended an event hosted by Guests, and other material that a user submits for posting. No precise location information is made public.
  2. Sharing Among Users. Our Services are intended to connect people and facilitate their connection. Additionally, we will share your personal information to any agents or third parties authorized by you, such as the operators, managers, agents, or other parties affiliated with an Event or when you consent to a Booking. This sharing is necessary to ensure that the contract between you and The Quick Space, or between you and a third party, is fulfilled.
  3. Our Service Providers. We may share your information with our trusted third-party service providers, which may include, but are not limited to, cloud service providers, web development, analytics, and security providers, communications providers, internal and external advisors or auditors, payment processors, dispute resolution providers, advertising providers, governmental entities, social media platforms, and background verification providers. When appropriate or required by applicable legislation, we will execute contracts containing standard data protection clauses to safeguard that information and persons' rights.
  4. Additional Disclosures. Apart from the aforementioned, we may share personal information in the following instances:
    1. If you have consented to our sharing your personal information in this manner; If we believe that sharing your personal information is reasonably necessary to provide you with the services you have requested at any given time;
    2. This sharing is necessary to comply with a civil, criminal, or regulatory inquiry, investigation, subpoena, or summons issued by federal, state, governmental, or local authorities; This sharing is necessary to exercise and defend legal or payment-related claims; This sharing is necessary to protect the rights and freedoms of other individuals, the property or safety of The Quick Space, The Quick Space employees, or our licensors.
    3. Third Party Links: We provide links to third-party websites that are not owned by or for us ("Third Party Sites") purely for your convenience. By clicking on these links, you will be taken away from our website. Third Party Sites are not covered by this Privacy Notice. We have not examined the Third-Party Sites, do not have any control over their content, and are not responsible for their privacy policies, if any. We make no representations or warranties regarding them, the information, software, or other products or materials contained on them, or the results that may be gained from their use. If you choose to access any of the Third-Party Sites featured on or linked from our website, you do so at your own risk.
    4. Building Management and Owners: We may share personal information about Hosts and Guests with landlords, management companies, and/or property owners to facilitate the Host Services. This information may include booking information and information about compliance with applicable laws and property management agreements. For example, Guest Booking and personal information, such as Guest contact information, may be shared with the owner/management, staff, reception, or caretaker of the building, complex, or community in which a Host resides and/or the listing is located in order to facilitate Host Services, compliance with applicable laws, security, billing, and other services.
    5. Any third parties with whom we may disclose your data are required to keep it private and to use it solely to fulfill the service requested by The Quick Space. When such third parties no longer require your personal data to perform this service, they will dispose of it in accordance with The Quick Space's standards, unless they are legally required to store information (provided that this will be in accordance with applicable data privacy laws). If we desire to disclose your sensitive personal data to a third party, we will do so only with your consent, unless we are otherwise obligated by law.
    6. As permitted by current law, we may disclose information that does not reasonably identify you or your company.

VI. Data Retention

We retain information for no longer than is reasonably necessary to fulfill the purposes for which it was originally obtained or to comply with our legal and regulatory requirements.

We are committed to safeguarding the security of any personally identifiable information you provide us with. We have put in place adequate administrative, technological, and physical safeguards to protect the personal information in our possession and control from theft, loss, and unauthorized access, use, modification, and disclosure. We limit access to personal information to workers and approved service providers who require it to perform their job functions.

Generally, all financial information you give, such as credit card information, is transmitted via a Secure Socket Layer (SSL) connection (provided that it is supported or enabled on your browser). Despite these safeguards, any information transmitted via the Internet has the potential to be intercepted or otherwise corrupted during transmission, and we cannot guarantee the perfect security of any data transmitted via the Internet. Sensitive personal information is held on servers or in locations that are protected by methods and technology that are reasonably designed to prevent intrusions by unauthorized third parties. While we maintain ownership of the servers at all times, they may be hosted, managed, or otherwise maintained by third-party service providers with whom we have contracted. These third-party service providers are not permitted to use or access this data for any purpose other than providing services to us.

All employees, officers, and contractors of The Quick Space, as well as third-party providers who have access to confidential information, are subject to access controls and confidentiality obligations, and we require our third-party data storage providers to adhere to appropriate industry standards for information security.

While we make every effort to keep our systems and controls current with technological advancements, data transmission over the internet is not totally safe, and as such, we cannot guarantee the security of your data transferred to our online services, which you do at your own risk.

If you communicate with us using non-secure web platforms, you accept the risk that our communications will be intercepted, lost, delayed, or corrupted, or that they will be received by parties other than the intended receiver.

Once we get your information, we will take reasonable steps to protect it through the use of procedures and security features.

You may access and update certain information you entered during registration at any time by logging in with your username and password. Please keep your password secure and do not share it with anybody. We highly encourage you to constantly verify the accuracy of your data, as we will use your e-mail, phone number, and home address to communicate with you about the products or services you have ordered. We shall not be responsible for any issues or difficulties that develop as a result of your inability to maintain accurate information.

As is the case with the majority of businesses, The Quick Space advertises and markets its Services in a variety of methods. We may use cookies and other similar technologies to identify you and collect information about your use of our websites. X. Policy Concerning Children

We are committed to adhering to the requirements of the Children's Online Privacy Protection Act (COPPA). Children under the age of 21 are not permitted to use our website or services. We do not gather personal information from minors under the age of 21 without their consent. If we discover that personal information was supplied by a child under the age of 21, we will instantly erase it. Parents are urged to monitor their children's online activity and to investigate other methods for creating a child-friendly online environment.
